For shops adding approved sellers, distributors bringing suppliers online and businesses building their own marketplace.

Seller setup

Help sellers apply
and get ready to sell.

Choose who can sell and which details and documents they need.

Choose who can sell

Invite sellers or let them apply through your store. Choose the business details, documents and terms they must provide before and after approval.

Check external applications

New sellers verify their email with a code and complete your application form. After approval, they set a password, finish the remaining checks and ask to go live.

Let existing POS users join

A business already using Online POS can ask to sell in your marketplace. After owner approval, it can open its seller tools and list products from its own POS product list.

Review seller documents

Check identity and business documents, often called KYC checks. Request missing documents. Changes to bank or other sensitive details need verification and owner review where required.

See who is ready to sell

See applications waiting for review, sellers still completing setup and sellers ready to go live. Approving a seller does not automatically approve every product.

Set your selling rules

Choose seller terms, approval settings and commission rates. Commission is the share your store earns from a vendor sale. Set product and payment rules for your store.

Product checks

Add more products.
Keep your selling rules.

Both you and the seller can see which products are approved, ready or hidden.

Products from POS or outside sellers

POS sellers can list their existing products. Other sellers manage products in the seller portal. Review the required details before approving a listing.

Check product details

Set rules for titles, descriptions, images, barcodes, categories and prices. Optional stock and recommended-retail-price checks help you decide whether a listing is ready.

Show why a product is hidden

Keep live, pending, rejected, paused and hidden listings separate. Sellers can see items hidden by the owner, missing details and old stock information.

Publish approved products

Approved products that meet your rules can appear in the shop, product pages, feeds and sitemap. Whether a seller lists an item in their own store does not control your marketplace.

Require recent stock checks

Choose when old vendor stock information should hide a listing. A recent count or purchase receipt refreshes POS-linked stock evidence. Creating a product alone does not count as a stock check.

Approve categories and brands

Sellers can request a category or brand. Check where it belongs, link an existing match or approve a suitable addition. Keep your product list organised.

Split orders and deliveries

One checkout.
A clear job for each seller.

Keep one customer order. Track the work and money for each seller separately.

  1. Step 1

    Customer places one order

A basket with several sellers becomes one customer order. View your own items and each seller portion, payment details, delivery steps and history.

  2. Step 2

Sellers send stock to the store

Each seller sends their items to your store and records shipping progress. Your store tracks the parcel and marks it received when it arrives.

  3. Step 3

Your store sends the customer order

Send the customer parcel and add tracking, or arrange collection. This step updates the delivery status the customer sees.

  4. Step 4

Check seller money with each order

Check commission, the amount owed to each seller, returns and refunds. See whether payment is allowed, with the original order still available.

Manage sending, tracking, delivery, collection and order history in the Online Store order tools.

Seller accounts

See what you earn.
See what you owe sellers.

Keep commission, fees, refunds, money owed and payment references with the order.

See commission on each order

Keep the sale amount, your commission and the amount owed to the seller together. Check the agreed rate when reviewing an order or seller account.

Check fees and money owed

Set marketplace fees and open the per-order money record, also called a ledger. See what the customer paid, what the store earns and what the seller is owed.

Review refund requests

Check refund requests with the order and items. Track requested, approved, rejected and refunded states. Keep the payment reference or reason for the decision.

Review withdrawal requests

Sellers can request payment from their available balance. Review the request and saved bank details. Approve it or reject it with a reason.

Record manual seller payments

Pay the seller through your own banking process. Record the payment reference in OOXFLOW. Payment records and batches keep the history. Automatic bank transfers are not available.

Hold payments during bank changes

A pending bank-details change puts seller payments on hold. Review the verified change and any required documents before allowing payment.

Seller tools and daily work

Give sellers their tools.
Choose what they can do.

Sellers manage their daily work without access to your store settings.

Tools for each seller

Sellers can manage their own products, orders, shipping, documents, messages, money records, withdrawals and settings. They see only their own seller reports and records.

Staff with their own login

Seller owners can invite staff and choose their permissions. Seller staff access stays separate from the tools used by the marketplace owner.

Messages linked to orders

Keep seller questions with the order. Sellers receive the store address for their delivery. Customer email, phone and address stay with the store.

Check seller coupons

Sellers manage their own discount coupons. The owner can view coupons and turn off any that break store rules.

Review customer feedback

Publish, hide or flag reviews about sellers. Also review feedback on products from your own store.

Reports for owners and sellers

Owners can review sales, commission, payments, top sellers and products. Sellers can see their own sales charts and export sales for the chosen dates.

Connected shop tools

Connect your store
to your daily shop work.

Use the Online Store for shopping and Online POS for till sales and stock. POS means point of sale. Stock, or inventory, means the goods you have to sell. Use reports to check sales and money.

Marketplace questions

Plan how sellers
will work with you.

What is a multivendor marketplace?

It is one online store where several approved sellers offer products. In OOXFLOW, the owner reviews sellers and products, splits orders by seller, tracks commission and payments, and handles refund requests. Sellers use their own portal.

Can I sell my products alongside seller products?

Yes. A customer can buy from you and other sellers in one order. You see separate seller portions, delivery steps, commission and payment details inside that order.

Do all sellers need Online POS?

No. External sellers apply and use the seller portal. Existing Online POS users can apply as POS-linked sellers and list products from their own product list. Both need owner approval.

Does seller approval publish all their products?

No. Sellers and products have separate approvals. Each listing must meet your saved rules and stay within your stock-information age limits.

Who sends the order to the customer?

Sellers first send their portions to your store. The store then sends the customer parcel or handles collection. Receiving a seller parcel does not mark the customer order delivered.

Are seller bank payments automatic?

No. Review withdrawals and keep payment records in OOXFLOW. Send the payment through your own bank, then record its reference. Automatic PayFast EFT payments to sellers are not available.

Can sellers see customer contact details?

They see the customer name as an order reference and the store address for delivery. Customer email, phone and delivery address stay with the store, which sends the final parcel.

Can I start with a store and add sellers later?

Yes. Start with the Online Store. Marketplace mode adds sellers, their listings and the tools to manage them. Check your current plan and add-on options before turning it on.

Bring the right sellers
into your store.
